A Few Helpful Details
We want you to feel comfortable with how planning works and clear about what to expect before we begin.
The details below explain our planning fees, revisions, changes, cancellations and a few important travel responsibilities. We’ll review the planning option that applies to your trip and confirm the complete cost before any research begins.
If you have questions, we’re always happy to talk them through with you.
Travel Planning Fees
Your cost of planning reflects the length and complexity of your trip and is separate from the cost of your travel arrangements.
You don’t need to determine which planning option applies before we talk. We’ll consider the length of your trip, number of destinations, number of travelers, room arrangements, transportation needs and the overall coordination involved.
After your complimentary Planning Call, we’ll recommend the appropriate planning option and confirm the complete cost before research begins.
Your cost of planning is due before we begin researching and designing your trip and is nonrefundable once planning begins.
Pricing, Availability and Confirming Arrangements
The recommendations and pricing in your proposal reflect what is available when we prepare it. Travel pricing and availability can change until reservations are confirmed.
You’ll have time to review our recommendations and current pricing before anything is booked. Once your itinerary feels right and you approve the arrangements, we’ll reconfirm availability and pricing before making reservations.
Hotels, airlines, guides, transportation companies and other travel providers establish their own deposit, payment, change and cancellation terms. We’ll share the applicable terms as your arrangements are confirmed and keep track of important payment dates and deadlines throughout planning.
Prices may also be affected by changes in currency exchange rates, taxes, fees or other charges established by travel providers.
Revisions During Planning
Your feedback is an important part of creating a trip that feels right for you.
Your cost of planning includes up to three rounds of revisions before booking. This gives you time to review our recommendations, ask questions and make thoughtful adjustments before your arrangements are confirmed.
Additional rounds of revisions are available for $100 per revision.
Changes After Booking
We understand that plans sometimes change after reservations have been confirmed.
Changes that require additional research, planning or coordination begin at $100. This may include changing your travel dates, destinations, hotels, transportation or other confirmed arrangements.
The final cost will reflect the amount of additional work involved, and we’ll confirm it with you before making the changes.
Any price increases, fare differences, change fees, cancellation penalties or other charges from travel providers are separate.
If You Need to Cancel Your Trip
Your original cost of planning is nonrefundable because it covers the research, recommendations, itinerary design and planning work already completed for your trip.
If you decide to cancel after planning has begun, an additional cancellation fee equal to your original cost of planning will apply. This covers the time required to cancel reservations, communicate with travel providers and local partners, review applicable terms and close out your arrangements.
Any cancellation charges or nonrefundable payments required by hotels, airlines, guides or other travel providers are separate.
Refunds, when available, are subject to each travel provider’s policies and processing timelines.
Supplier Payments and Cancellation Terms
Each hotel, airline, cruise line, guide, transportation company and other travel provider establishes its own payment, change and cancellation policies.
Some arrangements may require nonrefundable deposits or become nonrefundable as your travel dates approach. We’ll share these terms with you before confirming your reservations whenever they are available to us.
Payments for travel arrangements must be made according to the deadlines established by each provider. Missing a required payment may result in a reservation being cancelled or funds already paid being forfeited.
We’ll keep track of these deadlines and let you know when payment or action is needed.
Planning on a Shorter Timeline
When planning begins within six weeks of departure, Expedited Planning applies.
The additional cost begins at $950 and reflects your travel dates, season, destination, trip complexity and the amount of time available to make the arrangements.
We’ll review your plans before accepting the trip and let you know whether we believe there is enough time to plan it well. Shorter planning windows can also mean more limited availability for preferred hotels, guides, experiences and transportation.
If we don’t believe the timing is right, we’ll be straightforward with you.
We may have more flexibility for hotel only arrangements.
We’ll confirm the complete cost before planning begins.
Airfare Ticketing
If you’d like us to handle your airfare, Airfare Ticketing may be added for $150 per traveler, per round trip ticket.
We’ll research current schedules and fares, recommend flights that work well with your itinerary, book and issue your tickets and coordinate the flight details with the rest of your trip.
We’re unable to book airfare using points or miles.
Airfare, seat fees, baggage fees, fare differences, airline penalties and any change or rebooking costs are separate from the Airfare Ticketing fee and are subject to the airline’s terms.
If you prefer to book your own flights, we’re happy to provide guidance on airports, routes and flight times that work well with your itinerary.
Traveler Information and Booking Accuracy
Accurate traveler information is essential when making reservations.
Please provide each traveler’s full legal name exactly as it appears on the passport or identification they will use for travel, along with accurate dates of birth and other required information.
We ask that you review confirmations carefully when you receive them and let us know promptly if anything needs to be corrected.
Any costs resulting from incorrect traveler information or changes requested after reservations have been confirmed are the traveler’s responsibility.
Passports, Visas and Entry Requirements
We’ll provide guidance about passport, visa and entry requirements that may apply to your trip.
Each traveler is responsible for obtaining the required travel documents and confirming that passports, visas and other documentation are valid for the applicable travel dates.
Requirements can change, so we recommend reviewing current requirements again as your departure approaches.
Travel Insurance
We recommend travel insurance for every trip and will explain the options available to you. We can also provide a quote and arrange coverage through one of the insurance providers we work with.
Travel insurance is separate from your cost of planning and the cost of your travel arrangements.
Each policy has its own coverage, exclusions and claim requirements. Travelers are responsible for reviewing their policy and determining whether the coverage meets their individual needs.
If a claim is necessary, it is submitted directly to the insurance provider and is subject to that provider’s terms and coverage decisions.
Arrangements You Book Independently
You’re welcome to make certain arrangements on your own, including airfare if you prefer.
We’ll do our best to coordinate independently booked arrangements with the itinerary information you provide us, but Collier Travel Collective is not responsible for reservations, changes, cancellations, fees or other issues related to travel arrangements that were not booked through us.
Please keep us informed of any independently booked arrangements that affect your itinerary so we can plan the rest of your trip accordingly.
